CHAIRMAN – has
overall responsibility for the Club.
Continuously in contact with his committee as to the day-to-day
running of the Club and events, and ensuring that members are kept
informed. Arranging for
tracks and grading, and organizing the committee to run meetings, and
being aware of what goes on during those meetings.
Should hold Clerk of the Course Certificate.
Needs to have gained experience by assisting at committee level
for at least one year.
VICE-CHAIRMAN –
supporting the Chairman with whatever work is necessary to run the Club.
This may be at the track, as well as during the week with
‘phone calls and/or meetings. Stepping-in
during any absence of the Chairman.
Assisting the Chairman with decision-making and with the overall
running of the Club. Preferably
has experience at committee level, and a Clerk of the Course
Certificate.
GENERAL SECRETARY
–liaising with governing body (BSMA), landowners, councils, sponsors
etc., as and when required by the Chairman, Vice Chairman or committee
members. Applying for race permits to the BSMA.
Dealing with correspondence/telephone calls concerning new
members/club/BSMA business, and keeping the Chairman informed at all
times. Arranging committee meetings, AGM, and ensuring
representation at BSMA Delegates meetings. Keeping files up to date and supporting the
Chairman and committee with the day to day running of the Club.
Needs to be computer-literate.
TREASURER – is
responsible for keeping an up to date record of finances.
Collecting all monies at signing-on, from Trade Stands and the
Social Secretary (raffles & donations).
Issuing licences. Arranging
for permit monies and licence fees to be paid.
Issuing invoices, where necessary, and paying Club bills.
Keeping books up to date and preparing a meeting-by-meeting
financial report, together with quarterly financial statement and year
end accounts (to be audited). Should be computer-literate.
COMPETITION SECRETARY
– take bookings-in and prepare signing-on sheets for each meeting.
To advise TMX regs and advertisements for meetings.
On the morning, signing-on riders.
Renewing memberships and enrolling new members.
Make new members welcome,
arrange for competence tests and ensure they are aware of the rules and
the racing programme. Obtain from the Clerk of the Course the race order of the day
and ensure this is written-up at the table. At the end of the day,
collecting points & lap-scoring sheets and keeping championship
points/attendance records. Passing
information to web-site and reporter.
Must be computer literate.
CHIEF MARSHALL –
to organize and oversee marshalls during a meeting and ensure that all
are signed-on, including committee and stewards of the day, and ensure
that the track clearance is done at the end of the day.
To keep a record of the same.
Must be in attendance on Saturdays to put out marshall points.
CHIEF STARTER
- must prepare and lay out start gate on Saturdays. To organize
and oversee a team of people capable of starting races during the day,
and putting away the gate at the end of the meeting.
Must be on the start area at all times during a race day.
Spot-check helmets and scrutineering stickers on the start.
CHIEF SCRUTINEER
– to thoroughly check each and every bike at a meeting and ensure
there are no bikes on the track which have not been checked. Spot checks throughout the day.
Must hold a current Scrutineer Certificate. Must be available around the track all day.
SAFETY OFFICER –
to book adequate First Aid cover for every meeting.
Liaising with First Aiders.
Completing an Accident Report at the end of each meeting for
forwarding to the BSMA. Spot-checks
for fire extinguishers and safety procedures during the day.
SOCIAL SECRETARY
– is responsible for raising funds for the Club by way of raffles,
sponsorships, donations or sports awards.
Booking marquees, discos and entertainments as and when required.
Arranging gifts (flowers, Easter Eggs, fireworks, etc) and
birthday cards for riders throughout the year.
To co-ordinate the Presentation Evening arrangements with the
committee.
GENERAL COMMITTEE (6)
– MUST attend the day before race meetings to lay-out and prepare the
track for meetings, and ensure the equipment is all packed away at the
end of a meeting. Must be
available trackside during race days to assist as necessary.
One General Committee member to be responsible for driving the
Club van to meetings on Saturdays and to place direction signs on
roadways, and to ensuring the van is loaded with all equipment before
leaving at the end of the meeting (collecting direction signs on the way |
