Membership
1
All meetings will
be held under BSMA Constitution and Rules governing BSMA Membership an
Competitions.
2.
All Riders must hold a BSMA Licence.
3.
Non BSMA Members must obtain a Day Licence, but must produce an
alternative licence as evidence of capability.
4. All
subscriptions and monies due will be paid before a rider takes part in
any event. Membership is
per family.
The
committee reserve the right to amend riding fees as and when considered
necessary.
5. Non members
will be charged day membership.
6.
Age groups and classes shall be BSMA rule book. Automatics may
join on attaining 6years of age.
7. All riders must
provide a marshal for each event, who must be 18 years or over.
Marshals must make themselves conversant with flag signals and
marshalling duties.
8. Any Marshal
who leaves their post or fails to carry out their duties will be
reported to the stewards. Their decision as to the outcome will be
final.
9. UPGRADES –
Riders may upgrade to the class they will be riding in the following
season after 1st October – licences to be endorsed by club
secretary.
10. All riders shall produce
machines for scrutineering before riding in any of the club events
Scrutineering as per BSMA rules,
FRONT AND REAR CHAIN GUARDS MUST BE FITTED.
11.
Correct
Backgrounds and numbers must be in place before scrutineering.
12. RIDING IN THE PADDOCK IS
STRICTLY PROHIBITED. At the
first offence a rider will forfeit his best result of the day.
A second offence carries a penalty of exclusion from the meeting.
13. NO PILLION PASSENGERS
to be carried at any time. Non-Compliance
with this rule will render the rider automatic exclusion from the
meeting.
14. NO ENGINES WILL BE
STARTED BEFORE 10.00am.
15. FLAGS (Parents please
instruct your rider accordingly) Non Compliance with flag instructions
will render the rider automatic loss of points for that race.
16. All members will be
expected to keep the area around their vehicles clear of litter and to
clear said area at the end of the day.
17. CLUB members must
book in for events no later than 9.30pm on Thursday prior to that
meeting. Thereafter they
will not receive priority over visiting riders.
18.
If a rider fails to cancel his/her entry for a meeting he/she may
be liable to pay half the entry fee for that meeting before signing on
at the next meeting attended.
19. BSMA Double booking rule
applies. The riders name
and group will be forwarded to the BSMA secretary for circulation to
other BSMA clubs for 28 days suspension.
20. EKSSC Reserve the right to
cancel or alter any date or event without prior notice and to refuse
member permission to ride or remain on any site controlled by the club.
21.
Signing
on and scrutinizing shall commence at 8.30am and Close at 9.30am.
22.
The decision of the First Aid personnel is final.
23.
The points system for Club Championship Points:-
1st – 40 points
2nd – 38 points
3rd – 36 points
4th – 34 points
5th – 32 points
6th – 31 points
7th – 30 points
8th – 29points
9th – 28 points
And so on down to one point for last place.
24. Trophy meeting points will
be at the discretion of the serving committee.
25.
There will be 12 Club Championship meetings, open to members
only. The best 9 to count
for points. Riders must attend 8 meetings on or before the last Club
Championship round to qualify. All
races will count for points on each day; a rider must complete the
course and pass the chequered flag unaided to qualify for points.
26.
There will be a winter Championship series, that is also open
to Non-members.
27.
The BSMA semi final, Final, Nationals, or EKSSC International
will not count as meetings attended towards
Club Championship series.
28.
Injury, Sickness and holidays will count towards Club
championship attendance if the competition
Secretary is informed in writing within seven days after the
event.
29.
All parents will be prohibited from the starting area;
Failure to comply will result in exclusion from
the
meeting.
30.
There will be no changing of machines unless authorised
by the Chief starter.
31.
Gate
positions will be decided by pegs for the first race of the day,
followed by race positions for
subsequent races.
32. There will be no prize
money for AMX races.
33. In the interests of safety, young
children must not be in the track area unattended.
Dogs must be kept on a lead at all times. Parents and spectators are not permitted on to the track area unless
on marshalling duties – they must remain in the designated spectator
areas.
34. All protests must go to the
Clerk of the Course who will make a decision.
If you cannot agree with his ruling, a written protest
accompanied by a fee of £25 must be handed to him.
This will then be passed to the stewards for their decision.
If your protest is upheld your fee will be returned.
35. All Novices to wear a
fluorescent bib for a minimum of six meetings.
36. There will be no practicing
on Land used by the Club without the express permission of the
committee. Such an offence can carry a twelve-month ban.
37. All vehicles used for
transportation of motocross bikes MUST carry an adequate fire
extinguisher (Min 1.5kg – not water)
38. Sprocket guards to be
fitted to all machines entering events.
Management
and Administration
39. Membership - the club shall
be formed of family memberships, being Families consisting of parents
(whether riders or not) together with children of the said Family
(whether riders or not).
40. Membership to the club shall
cease as at 31st December each year, and shall become
renewable as at 1st
January.
42.
An
Annual General Meeting of Club Members shall be held at the end of the calendar year
or at such time as determined at
the preceding AGM.
43. The business of the AGM
shall include the presentation of the accounts for the previous
financial year (Which ends 31st December); a report by the
chairman; Election of a Committee; Followed by any rule amendments
deemed necessary and voted by the members.
44. Any Member intending to
propose any amendments to the rules of the club shall submit such
proposal in writing to the secretary not less than 21 days prior to the
AGM. Any rule changes must
be approved by the AGM. The AGM may also propose and vote amendments
under Any Other Business on the Agenda.
45. A Committee headed by the
Chairman, shall be elected by the members to be responsible for the
Administration and organising events during the forthcoming year, and
who shall stand down at the AGM. Any
Committee member may choose to stand for re-election. Changes to the
Committee shall be at the discretion of the committee standing prior to
the AGM.
46. Only Club Members have the
right to vote, and there is only one vote per family.
47. In the event of that the
AGM is postponed to January of the following year, memberships must be
taken out on or before the meeting, in order to procure a vote.
48.
Nominations
for committee positions must be submitted in writing, to the secretary
at least 21 days
prior to the AGM. In the
event of there being insufficient candidates for vacancies, the Annual General
Meeting may elect members without prior nomination.
49. The Committee shall consist
of a President, Vice President who may be the retiring Chairman. In the
event the retiring Chairman refuses to stand as president or vice
president, Nominations shall be invited from the floor.
The Committee shall consist of Chairman (who must have served at
least one year on the Committee); Vice Chairman; Membership /Competition
Secretary; General Secretary; Treasurer; Social Secretary; Chief
Marshal; Chief Starter; Chief Scrutineer; Safety Co-Ordinator and six
General Committee Members.
50. The
Committee shall have the power to opt co-opt (in the event of a
resignation) additional committee members as they see fit.
Any member co-opted shall hold office only until the next AGM,
when he/she shall be
eligible for re-election.
51. The Committee shall have
the power, during their term of election, to deal with all matters,
including amendments to riding fee and concession to elected committee
in the event that such changes deem necessary.
52. The Committee shall have the
power to expel or suspend, or temporarily suspend, any member who shall
offend against the rules of the club, or whose conduct, in the opinion
of the committee, renders him/her unfit for membership. Before any
member is expelled, the secretary shall give him/her 14 days written
notice to attend a meeting giving him/her the opportunity to answer the
complaint made against him/her. Any
misdemeanours falling within the rules of the BSMA shall be reported to
the secretary of the Disciplinary Committee of the BSMA.
53.
At all the meetings of the committee, each member present shall
have one vote. Proxy votes
will be
accepted,
in writing. The Chairman
shall preside at all meetings, but if has signified his inability to
attend the
Vice Chairman shall preside.
54. An Agenda together with minutes of the previous meeting shall be
forwarded to Committee Members
at least
five days prior to the meeting (where possible). The
Secretary should be notified of all
matters to
be included in the agenda, together with any apologies for absence.
55. Minutes of meetings and/or accounts shall be available for inspection by
Club Members upon request.
56. The
Treasurer shall provide to the Committee a meeting-by-meeting balance
sheet, together with the
quarterly balance
sheet of the Club funds.
These documents shall be available for inspection by Club
Members upon
request. The year-end
accounts shall be audited prior to the AGM for presentation to the
Members.
57. Club
records should be kept for a minimum period of five years.
58. DISSOLUTION
CLAUSE
Should the Club cease
to exist, after discharging all debts and liabilities the remaining
assets shall not
be paid to or
distributed among the Members but shall be given or transferred to some
other voluntary
organisation having
objects similar to those of the Club.
